What Is the Oley Conference, and Why Should I Be There?

Designed to help patients on home tube and IV feeding (homePEN consumers) learn more about their therapy, Oley Conferences offer consumers, clinicians, and you an opportunity to learn and network. About 350–500 people attend each year. Formal, interactive sessions are complemented by small group discussions on topics ranging from coping skills to advances in disease treatments. You are encouraged to join us for educational sessions and social events.

 

It’s the ONLY conference where you can promote your products/services directly to experienced patients (end users) and get their feedback.

The rate of $159/night for single/double, or $209 for a quad, (roll-away, $25 per stay) is open through June 13 and will be honored three days pre and post conference, based on availability. Note: to secure this rate, use the link above or mention you are with the Oley meeting when calling. Self-parking fee is $5/day. Book early, we’ve sold out in past years.

What Times Should I Set Aside?


Exhibitors should attend the following events. Reps are encourage to attend educational sessions and social events, too.
    • Mandatory Exhibitor Call: Monday, June 12, 1pm–2pm ET—OR— Tuesday, June 13, 2pm–3pm ET.

At least one representative from each exhibit must attend one of the calls and be responsible for sharing the information with everyone from their company at the conference. Email Roslyn Dahl to indicate which call you will attend.

 

    • Welcome/Awards Ceremony: July 5, 7:00 to 9:30 p.m.
    • Exhibit Setup: July 6, 7:00 to 11:45 a.m.
    • Corporate Awards Ceremony: July 6, 11:45 a.m.

    • Exhibit Hall Open: July 6 & 7, noon to 2:30 p.m.
    • Raffle Drawing (in exhibit hall): July 7, 2:00 p.m.
    • Silent Auction: July 6, 7:30 to 9:00 p.m.
    • Exhibit Breakdown: July 7, 2:30 to 4:30 p.m.

Exhibit Registration

The Exhibitor’s Application, company description, logo, payment (and any advertisements) should be received by May 16, 2016 for inclusion in the Conference Program. Exhibitor registration includes admission to educational sessions and social events. Applications received later than May 16, will be accommodated as possible. Registrants are responsible for their own hotel and transportation arrangements. Deadline for cancellations with refund is May 23, 2015. We’ve sold out three years in a row — so REGISTER EARLY!

Exhibit Setup

Exhibitors may setup Wednesday, July 6, from 7:00 a.m. to 11:45 a.m. Exhibitors should ask the event services supervisor to deliver their packages to their tables. They will need to provide their name/company, “attention to” information on the shipment, and tracking number if possible. 

 

Shipping

Inbound: Packages should arrive Mon–Fri 8:00 am to 5:00 pm unless prior special arrangements are made. Packages that arrive >2 days prior to the event will incur a storage fee. Due to the holiday, packages that arrive on June 30 will not be charged a storage fee. There is a $6/box fee for exhibitors to receive >5 boxes; oversized boxes (4' x 4') and pallets/skids will incur a higher fee. To avoid delays in receiving your packages on site, we strongly encourage you to complete the Hyatt's credit card authorization form at least 72 hours before you expect your packages to arrive. Outbound: You should make arrangements with your carrier directly and then notify Joyce Giannini, Event Planning Manager, of your plans (203.409.4360, joyce.giannini@hyatt.com). UPS and FedEx packages will need a completed shipping label, then banquet staff can bring the boxes to the loading dock. If you have a private carrier, let Joyce know who will be picking up the materials and when. Joyce can advise on any fees.

 

 

AV/Electricity/Furniture

Exhibits come with a 6' draped table. Contact Roslyn Dahl if you have additional furniture needs.

For electricity needs, complete the Hyatt's credit card authorization form and note your electrical needs on this form. If you have questions, you can email Joyce Giannini or call her at (203) 409-4360.

  

Exhibit Raffle—Draw Attention to Your Booth!

1. Supply and display up to three raffle items, raffle tickets (or slips of paper), and a collection bowl at your booth.

2. Collect the names of people in the bowl when they visit your booth. 

3. Towards the end of the second exhibit day, (at around 2:00 p.m. on, July 7) Oley staff will announce the drawing time. Bring your item(s), and bowl with collected names to the podium (along with other participating companies.) 

4. An Oley volunteer will draw the winning ticket from your bowl, and you present the prize to the winner. If you want your bowl of collected names back, you should take it at this time. Then it is the next company's turn. 

5. Additional tips:

  • You may raffle off more than one item if you wish.
  • Popular past raffle items: iPod, iPad, GPS, jewelry, toys, gift cards.
  • Medical supplies, company products, and related items are not appropriate raffle items.
